Performs a wide variety of credit and collection functions.
· Provides customer service-based contact with external customers to resolve payment.
· Coordinates and clearly communicates with external customers as well as internal customers in our sales, billing, accounts receivable, and operations departments.
· Prepares reports on status of collections items.
· Participates in collections conference calls and meetings with sales, collections, billing, and management.
· Attends and participates in staff meetings and training as provided.
· Maintains open accounts receivable aging reports and works to secure the timeliness of payments.
· Reviews and monitors delinquent accounts.
· Uses investigative and problem-solving skills to resolve issues.
· Maintains records on credit risks, delinquent accounts, and incomplete files.
· Provides helpful and friendly customer service to assist customers with resolution of their billing or payment questions
· Monitor and track customer balances to identify potential collection issues
· Proactively and timely initiate high volume of collection calls and correspondence with customers to collect deposits and overdue balances
· Analyze and resolve customer delinquencies, discrepancies, short pays, and needed account adjustments
· Effectively keep sales and senior management aware of collection issues and enlist their assistance as necessary and appropriate
· Exercises prudent judgement in deciding when customers should be placed on credit hold, notifying customer and others as appropriate
· Enhances and improves existing collection policies, systems and procedures
· Perform selected other activities and duties, including backup of other accounting duties, as reasonably assigned
· Update existing Customer Credit Files as needed
· Respond to Credit Reference Request
· Prepare and distribute weekly aging report
· Prepare and distribute collection forecast report
· Liaise with logistic department for collection of payments (cheques/Cash) on time
· Identify outstanding account receivables
· Investigate historical data for debts and bills
· Take actions in order to encourage timely payments
Collection Specialist: Duties and Job Responsibilities
Qualifications and Skills
· Bachelor Degree in Accounting or related field required.
· 3-5 year high volume B2B collection experience with strong knowledge of collection procedures
· Strong ability to work independently, organize work, attention to detail, and perform in a high volume, fast paced role
· Excellent written and verbal communication skills, including highly developed interpersonal skills to work effectively with customers in a friendly manner
· Superior PC skills and proficiency in Microsoft Office products (Outlook, Word and Excel)
· Experience with ERP/automated accounting systems for small/medium sized manufacturing/distribution companies(e.g. NetSuite, Oracle, Syteline, Great Plains, SAP)
· Ability to collaborate effectively with other team members and work in fast-paced, high growth environment
Language Skills
· English – proficiency in spoken and written English
· Additional languages – preferred
