Personal Assistant cum Admin Executive: Job Requirements

Job Description:

  • Perform secretarial and administrative works.
  • Manage and coordinate travel for both business and personal arrangements.
  • Take dictation and minutes of meetings and draft correspondences.
  • Undertake special assignments, ad-hoc functions, and related duties as and when required.
  • To maintain the confidentiality of Company information at all times.
  • Determine job of top priority and accomplish urgent matters within tight deadlines.
  • Willing to multitask and accept any other related duties assigned by management.
  • Liaison and follow up professionally with all levels of management and staff.
  • Professional handling of receipt claims, business calls, messages & other information.
  • To uphold strict private and confidentiality of all tasks handle.
  • Carry out general admin duties and courier task.
  • Managing all office orders on regular basis.
  • Schedule appropriate meeting times and booking rooms.
  • Manage reception area and looks after visitors.
  • Issue invoices and bills and sent to customers through various channels.
  • Arranging both internal and external events.
  • Organize, store and print company documents as needed.
  • To perform any other tasks, assignments, project as and when required by the superior.

Requirements:

  • Candidate must possess Professional Qualifications/Diploma/Degree in any field.
  • Willing to travel to other areas, districts, and states.
  • Proficient in Microsoft Office especially Word, Excel and PowerPoint.
  • Preferably specialized in Clerical/Administrative Support or equivalent.
  • Proficiency in English and Mandarin. Preferred candidate who fluent in Mandarin as role requires candidate to deal with Mandarin speaking clients.
  • Excellent communication skills (written and verbal).
  • Extremely detail oriented to ensure accuracy and quality across all tasks.
  • Excellent people skills.
  • Creative problem solving.
  • Good practical common sense.
  • Ability to work under pressure and as part of the team.
  • Detail to appearance; dress in a professional manner.
  • Result-oriented, self-motivated and a team player who will be working in a challenging environment.
  • At least 1 years of working experience in the related field will be preferred for this position, fresh grad are welcome to apply.
